RouteWrk vs ServiceNow
ServiceNow, for companies that will never have a ServiceNow team.
Both run a request through steps: intake, approval, fulfilment, a record. ServiceNow can do almost anything, once a platform team has built it. RouteWrk is the same shape drawn by the person who owns the process, on the afternoon they need it, from the mailbox they already use.
Where the weeks go.
A new hire needs a laptop and access to three systems, and the manager has to approve the spend. Here is what it takes to get that process running, then who does each step once it is.
In ServiceNow
- Platform admin creates the catalog item and its variables
- Developer builds the approval and fulfilment flow in Flow Designer
- Admin maps assignment groups and licenses each fulfiller
- Change board tests it in a sub-production instance and schedules the release
- Employee submits the item; the manager approves; IT works the tasks
Runs itself, after a project. Once built it is excellent. The build is the cost: people, licences and a change process a company of twenty does not have.
In RouteWrk
- The onboarding coordinator starts from the Employee Onboarding template and edits the steps on the canvas
- Automatic welcome email and paperwork request sent from your mailbox
- Automatic waits for the signed forms; chases if silent
- Manager approves the equipment spend inside the ticket, one click
- Automatic a cross-workflow step opens a ticket in the IT workspace, fields carried across
- IT ticks the setup checklist; the hire cannot advance with items outstanding
Runs itself, after an afternoon. No admin, no developer, no release window. The person who owns the process owns the canvas.
That is the whole difference. ServiceNow scales to an enterprise because a team builds and governs it. RouteWrk scales down to a department because nobody has to.
Pick by who will build it, not by the feature list.
Choose ServiceNow when
You have, or are hiring, the team to run it: platform owners, developers, a change process, and an IT organization that wants ITIL end to end, a CMDB, and hundreds of integrations under one governance model. At that scale nothing else comes close.
Choose RouteWrk when
Your company has ServiceNow somewhere, or none at all, and your department's process still runs from email, a template message and a reminder you set by hand. You want approvals, handoffs and a record, drawn by you, without asking IT for anything.
What each one does today
No roadmap on either side. RouteWrk's column is the product as shipped; ServiceNow's is what their own site says, checked on September 21, 2026.
| RouteWrk | ServiceNow | The difference in practice | |
|---|---|---|---|
| Set up by the process owner, no admin | ✓ | · | RouteWrk's canvas is edited by whoever owns the workflow. ServiceNow configuration is an admin and developer role by design. |
| Visual workflow with branches, waits and loops | ✓ | ✓ | Both. ServiceNow's Flow Designer is more capable and far larger; RouteWrk's is one canvas per workspace with the node types a ticket needs. |
| Approval gates | ✓ | ✓ | Both park the record until a named person decides. RouteWrk's approver clicks on the board or in the ticket; the outcome is its own edge. |
| Email becomes a ticket | ✓ | ✓ | Both. RouteWrk routes from your Gmail or a shared inbox into a workspace you choose; ServiceNow uses inbound email actions on its own address. |
| Reply from your own mailbox | ✓ | · | RouteWrk sends as your connected Gmail, so the supplier sees you and the thread is in your Sent folder. ServiceNow sends notifications from the instance. |
| Await a reply, with a timeout | ✓ | ~ | RouteWrk matches the reply to the waiting ticket and takes the timeout edge if nobody answers. ServiceNow can be built to do this; it is not a step you drop in. |
| Hand off to another department | ✓ | ✓ | Both. RouteWrk opens a ticket in the other workspace with fields carried across, exactly once; ServiceNow assigns tasks across groups inside one instance. |
| Time to first running process | ✓ | ~ | An afternoon from a template in RouteWrk. A single ServiceNow module is commonly quoted at eight to sixteen weeks with an implementation partner. |
| Pricing | ✓ | · | RouteWrk is free to start, no card. ServiceNow publishes no price and quotes per fulfiller on a contract; there is no free plan, though developers can get a free personal instance. |
| ITIL: incident, problem, change, CMDB | · | ✓ | Not what RouteWrk is. ServiceNow is the reference implementation. |
| SSO, roles, audit at enterprise scale | ~ | ✓ | RouteWrk has org roles and a full history on every ticket. ServiceNow has the governance model a compliance team expects. |
| Integration hub | · | ✓ | RouteWrk connects Gmail. ServiceNow's Integration Hub connects most of the enterprise through prebuilt spokes. |
| Employee self-service portal | · | ✓ | RouteWrk's intake is email or a ticket created by hand. ServiceNow's catalog and portal are the front door for a whole company. |
We would rather you knew before you signed up.
- You are an IT organization running ITIL processes for thousands of employees. That is what it was built for and it is very good at it.
- You need a CMDB, an employee portal, or integrations into HR, finance and identity systems under one governance model.
- Your process has to satisfy an auditor with change control, role separation and sub-production testing.
- You already have the team. If a platform owner and a developer are in the building, the reasons to leave are fewer.
Other comparisons
If your department's process runs from an inbox, try the free plan.
One workspace, one workflow, your own Gmail. No card, no trial clock, no IT ticket to get started.
